Front Desk Management

• Serve as the first point of contact for students, parents, and visitors.

• Greet clients warmly and provide a welcoming atmosphere at the school.

• Manage phone calls, emails, and walk-in inquiries promptly and professionally.

Operational Coordination

• Oversee scheduling of classes, studio bookings, and teacher availability.

• Ensure the studio is well-maintained, organized, and equipped for lessons and events.

• Monitor inventory of supplies and teaching materials, placing orders when necessary.

• Coordination of examinations and other students related assessments. 

Customer Relations

• Handle customer inquiries regarding lesson schedules, fees, and programs.

• Resolve complaints or concerns in a courteous and efficient manner.

• Assist with enrollments, payments, and tracking of student progress.

Administrative Support

• Maintain accurate records of students, classes, and payments.

• Prepare reports for management on student attendance and operational issues.

• Coordinate with external vendors or service providers as needed.

Event Support

• Assist in the planning and execution of recitals, workshops, and open houses.

• Manage event logistics, including scheduling, setup, and customer communication.

• A bachelor’s degree or diploma in a relevant field, such as business administration, arts management, operations management or music.

• 3–5 years of experience in operations, studio coordination, or a similar administrative role, ideally in: Music schools, performing arts organizations, or educational institutions, retail or service-oriented businesses with customer-facing roles.

• Strong organizational and multitasking skills with attention to detail.

• Excellent communication and interpersonal skills.

• Proficiency in office software (e.g., Microsoft Office, Google Workspace) and familiarity with scheduling or management software.

• Ability to work retail hours, including evenings and weekends.

• A passion for music or the arts is a plus.

• Prior experience in managing teams, overseeing operations, or leading projects is highly preferred.

• Basic knowledge of event coordination and logistics is often a plus.
